In the competitive world of international trade, being export-ready isn’t just about having quality products or global buyers. It’s also about staying compliant with evolving regulations and ensuring that all required certifications and registrations are valid. A missed renewal deadline can lead to shipment delays, penalties, or even cancellation of export orders. That’s why exporters—whether small businesses or large enterprises—should maintain a robust annual renewal checklist to stay market-ready and stress-free.
1. Renewal of RCMC Certificate
One of the most overlooked, yet essential tasks is the timely renewal of the Registration-Cum-Membership Certificate (RCMC). Issued by Export Promotion Councils like APEDA, FIEO, CAPEXIL, etc., the RCMC is mandatory for exporters seeking benefits under India’s Foreign Trade Policy. Although it’s generally valid for five years, renewal processes differ by council and should be initiated before expiry. Ensure you keep track of the validity and initiate renewal through the respective EPC’s portal with updated IEC, GST, and export performance details.
2. IEC Update and Revalidation
While the Importer Exporter Code (IEC) doesn’t need renewal per se, the DGFT mandates an annual update of IEC details between April and June. Failure to do so may deactivate your IEC and restrict your ability to make shipments or receive incentives. Keep your IEC active by reviewing your business credentials, bank details, and director/KYC information on time.
3. DGFT-Linked Licenses and Authorizations
If your business avails benefits under schemes like Advance Authorization, EPCG, or RoDTEP, make sure to check validity dates and fulfillment of export obligations. Many of these schemes are subject to periodic verification and non-compliance can impact future applications. Maintaining a dedicated compliance calendar for DGFT-related schemes is highly advisable.
4. GST and LUT Renewals
For zero-rated exports under GST, exporters must file Letter of Undertaking (LUT) annually. The LUT must be renewed before the end of the financial year to avoid paying IGST on exports. In addition, keep a close watch on GST return filing schedules, as non-filing can affect other registrations linked with export operations.
5. FSSAI, BIS, and Other Product-Specific Certifications
If you’re exporting food products, electricals, or other regulated items, make sure to renew product certifications like FSSAI, BIS, BEE, Halal, etc. These licenses often have annual or biannual renewal requirements and may involve sample testing or compliance checks. Failing to renew could lead to customs clearance issues or product rejections at destination ports.
6. Logistics and Insurance Policies
Ensure your marine insurance policies, warehouse contracts, and international logistics agreements are reviewed and renewed periodically. Many exporters only focus on licensing but neglect the operational risks. Renewing and renegotiating such contracts ahead of time ensures business continuity and cost-efficiency.
